Online ordering in the doctor's office: advantages and pitfalls

During covid, ordering for a specific date has become the standard in medical offices. At the same time, doctors and nurses have had a lot of work to do. One possible solution is online ordering. He discussed its advantages and disadvantages at the MUDr. Ondřej Sobotka.

A number of doctors are concerned about online ordering. “I book patients by phone. If they could order online themselves, I'm afraid there would be chaos” said one participant at the webinar.

Moreover, online ordering does not always work correctly. “I was originally using an ordering system that was part of my outpatient software. After a while, I had to turn it off. It failed, patients were unable to order properly in it,” mentioned MUDr. Sobotka's own experience.

Another typical concern is that patients will block appointments and the office will no longer have time left for prevention.

Although some online ordering can be problematic, staying on the phone is not the solution. “It's too time consuming. In my experience, it is the identification of the patient, the search for a suitable term, and then also the change of dates that delays the most,” stated MUDr. Sobotka.

3 basic ways to order

If you are thinking about how to make ordering more efficient, you have to take into account that not every patient requirement is the same. In order for your ordering system to work, it has to deal with 4 basic types of requirements.

  1. Type: tetanus vaccination
  • A clearly defined requirement.
  • A clearly defined duration of the procedure.
  • There is nothing to spoil.
  • This group also includes, for example, examination for a driver's license, pregnancy examination, diabetic examination.
  1. type: testimonial to work
  • Do I have enough information to order?
  • I do not see an application from the employer over the phone.
  • Does the reservation system allow you to insert an attachment?
  • Prevention, preoperative examination and others also belong to this group.
  1. type: acute disease
  • Do I have room for that? Aren't the deadlines already filled?
  • Do I have enough information?
  • Is it urgent?
  • I will deal with it distantly, or full-time?
  1. type: bulk order
  • Vaccination campaign, prevention (pediatricians).
  • Reaching out sms, email.
  • It sets off an avalanche of phone calls.

M.D. Sobotka compared how these requirements are handled in different ways of ordering:

  • Hairdressing style — telephone ordering
  • Tyre Service Style -- a “stupid” online system (i.e., too simple to cover the needs of the office)
  • Modern office style — smart online Emmy system

Online ordering is already well implemented today. It's cheap, still affordable and smart” concluded MUDr. Sobotka.
