The patient writes to you and asks for a paid document, such as an extract from the documentation — but if you send it to him with an invoice, you are not sure if he will actually pay. Many clinics are dealing with this situation, which is why we have added a new Online Payment feature to Emma to solve it for you. It is intended for doctors who are not VAT payers.

If a patient requests through an Emmy performance that is not covered by health insurance, the Emmy gives him generates a receipt for payment. Only when he pays, send him the finished document, or Emmy will allow him to order for a specific date.

Thanks to this, you have money up front and you will avoid problems with defaulters. Plus, neither you or your nurse need to constantly check if the patient has already paid -- Emmy will do it for you.

‍Which offices will use the function

The most useful function is performed by offices with Young and active clientelethat, for example, often changes jobs.

Automatic matching of payments and requests

Maybe some patients are already paying into your bill. In this case, you first hand issue a document to them and then log in to banking, check payments, search for original documents according to the variable symbol and you manually mark them as paid. And the next day again.

Emmy and the account in Fio bank communicate with each other after linking. Emmys' peeks' into Fio and checks the payments received. According to the variable payment symbol, it searches for a specific request and marks it as paid.

Emmys can link only with an account in Fio bank. If for any reason you do not want to set up an account with Fia, you can use Emmy to generate documents and match payments manually.

The Emmys can only exhibit at the moment documents without VAT — this function is therefore only used by medical offices that are not VAT payers.

‍How quickly you get money from patients

Patients pay you by transfer to the bill. Whereas previously payment could go from account to account for up to three days, now it is much faster. Most Czech banks allow instant payments. This means that you have a payment on the account in a few seconds.

So it's just as fast as paying by card online. The big advantage is that you get this quick payment due you don't have to set up a payment gateway and you don't pay any fees from online transactions. The offices that use the payment gateway charge up to 2% of each payment (varies according to the gateway provider, sometimes the fee may be higher).

If your or the patient's bank does not allow immediate payments, the money will be received within three days (but usually sooner).

4 situations in which you can use online payments

The Online Payment function adapts to the different situations that you deal with in the office.

1. Paid procedures without visiting a doctor's office

• The patient through Emmys requests a standard paid performance, e.g. an extract from documentation.
• Emmy automatically issues him a receipt.
• The patient pays it, Emmy pairs the payment and only then “lets” the request into the office.
• The office sends the patient a processed document.

2. Paid performances with online ordering

You can use this option if you allow patients to book online themselves.

• The patient requests a paid procedure for which a visit to the doctor's office is necessary, e.g. examination for a gun license.
• Emmy automatically issues him a receipt.
• The patient pays, Emmy pairs the payment and only then makes the appointment booking available to him.

3. Non-standard requirement

• The nurse finds out that the patient is requesting a paid action, e.g. filling out a document from the insurance company.
• They hand him a receipt for reimbursement at the Emmys.
• The patient pays it, Emmy pairs the payment with the request and alerts the office.
• The office sends the patient a processed document.

4. Payments at the doctor's office

• The patient is supposed to pay at the doctor's office, but does not have cash with him.
• At the Emmys, a nurse shows him a receipt for payment with a QR code, which he shows on a computer screen.
• The patient opens online banking on the mobile, takes a photo of the QR code, sends the payment and shows a confirmation on the mobile that the payment has gone.

You will use this scenario in the case when a particular patient uses mobile banking and has data (or has Wi-Fi in the office).

QR code is a standard part of all payment documents you create an Emmy. Thanks to this, the patient does not have to transcribe or copy the data to his banking, but it is automatically loaded to him.
